If you use AI at work, you end up writing the same kind of instruction again and again: the client follow-up, the weekly update, the meeting notes. The wording drifts a little every time, and the version that worked best is nowhere to be found.
The fix is to keep a prompt the moment it works. There are three common ways to do that.
The simplest option: keep your good prompts in a document with a title for each. The catch is the round trip every time you use one — open the doc, find it, copy it, switch back, paste. Once you have more than a handful, finding the right one takes long enough that you rewrite it instead.
Some AI services let you set instructions that apply to every conversation. That works for things that never change, like tone or background about you. It doesn't help with prompts you only want in a specific situation, and if you use more than one AI, you maintain the same text in several places.
A shortcut tool replaces a short keyword with a saved block of text right in the box you're typing in. You can keep a different prompt for every situation and skip the find-copy-paste loop.
Qarta is a Chrome extension built for exactly this in AI chats. Type “/” and a keyword in the chat box on ChatGPT, Gemini, Claude, Copilot, Perplexity or Grok, and your saved prompt drops in. You can also insert one with a click from the side panel.
The prompts that pay off are the ones that say who the answer is for, which sections to return, and what not to do. For an apology email, spelling out the order — apologise, explain what happened without excuses, what you're doing about it, apologise again — gets you drafts in a consistent shape.
Qarta is a Chrome extension that saves your prompts and drops them into any major AI chat when you type “/” and a keyword. These templates come built in too. Free, no account, and your chats never leave your computer.
With Pro, the {{ }} parts become a small form you fill just before sending (you can try it once for free).
